Cancellation Policy
We offer a full refund up to 28 days before the start of the course. If you cancel your participation less than 28 days before the start date, no refund will be provided. This applies to all courses, specialty modules, workshops, etc.
Cancellations must always be made in writing via email to info@PTinstitute.dk.
It is also not possible to receive a refund or cancel participation once the course has started. Furthermore, we cannot guarantee the possibility of transferring to a later course in case of such a request during the program.
If there are less than 28 days until the course start and you have opted for installment payments and paid the first installment, you are required to continue with the agreed payments even if you decide to discontinue the course.

Teaching
Course schedules will be uploaded to the student portal at least 14 days before the start of the course. Changes may occur both before and during the course.
It is the student’s responsibility to stay updated on the schedule and other information available on the student portal, accessible via www.ptinstitute.dk.
In case of changes during the course, students will be informed via email or the student portal.
In the event of acute illness or other unforeseen absence of instructors, PTinstitute will do its best to find a substitute. In some cases, it may be necessary to cancel a class, in which case the session will be rescheduled.
Practical training at PTinstitute is at the student’s own risk and should be performed based on their own skill level. Students are responsible for determining the intensity of their participation.

Absence
We recommend attending all scheduled sessions. In case of illness or other absence, please notify info@PTinstitute.dk or your instructor if this has been communicated.
For example, in the Personal Trainer course, there are mandatory tests and a requirement of at least 75% attendance to qualify for the exam. Be sure to check the specific attendance rules for your course. For the Nutrition Coach course, you are allowed a maximum of two days of absence to be eligible for the exam.

Re-examinations
If you fail an exam, you can retake it by arrangement with PTinstitute. A maximum of two re-examination attempts is allowed.
The schedule for re-examinations is typically planned in advance and listed in the course schedule. If the re-exam is not passed, the third and final attempt can be taken with the next cohort.
The fee for a re-exam is 800 DKK, covering the cost of the examiner and assessor.

Force Majeure
PTinstitute is not liable for necessary changes to courses or programs caused by force majeure. Refunds are not required if a course is held differently or postponed due to such circumstances.

Cancellations
If there are too few participants, we may need to cancel a course. In this case, registered participants will be notified via email, and arrangements will be made for transfer to another course or a refund.
By paying for a course or program at PTinstitute, you agree to the terms and conditions.

Consent for Facial Scanning
19. I hereby consent to the fitness center processing the following personal data about me for the purposes described below:

• Use of my profile picture for my user profile
• Use of facial scanning as an access method
• Use of facial scanning to collect statistics on gym usage

Categories of Personal Data Processed

• General Personal Data: Name
• Sensitive Personal Data: Biometric facial scan

Purpose of Processing Personal Data
Your data will be processed to manage access control (if you opt to use facial scanning as an access method) and to collect statistics on gym usage.

Collection and Processing of Personal Data
When a member enters the gym and opts to use facial scanning, a scan of their face is taken, similar to face recognition on a mobile phone. The image is matched with data from the gym's member database, including the profile picture uploaded by the member. If there is a match, access is granted, and the member's presence is registered. The entire process is completed within milliseconds.

Sharing of Personal Data
Your data will be shared with the gym’s administration company and Justface ApS, Odinsvej 23, 8722 Hedensted, Denmark. Your data will only be processed for the purposes described above and only to the extent strictly necessary. Your data will only be accessible to relevant and specifically designated personnel and shared with others only when necessary for the described purposes or as required by law.

Retention of Personal Data
Your data will be stored as long as you wish to use the facial scanning service, i.e., until you withdraw your consent or your gym membership is terminated.

Withdrawal of Consent
Granting consent is voluntary, and you may withdraw it at any time. To withdraw consent, contact support@justface.dk.
